Billing and Payments

This page explains how billing works for services from Dirt Road Software, LLC. It is part of our Terms of Service. If your proposal or a signed agreement says something different, that wins for that point.

1. Who bills you

Dirt Road Software, LLC sends your invoices and receives your payments. Its name is the one on your invoices, your payment receipts and your card or bank statement.

2. Invoices

  • We email each invoice to your billing contact with a secure link to view and pay it. You do not need to sign in to pay.
  • Each invoice lists what it covers, any taxes, and its due date. Amounts are in US dollars unless the invoice says otherwise.
  • Subscriptions (such as hosting, managed website packages and software licenses) are billed in advance for each monthly or yearly period. Setup and project work are billed as set out in your proposal.

3. How payments are processed

Card payments are processed by Stripe on its secure payment page. Your full card number goes directly to Stripe and never reaches our servers. We keep only what we need for our records, such as the card brand, the last four digits and the payment result. A receipt is emailed to you after each payment.

4. Automatic payments

If you choose automatic payments, you allow us to charge your saved payment method for each subscription invoice when it is issued, until you turn automatic payments off or cancel. Stripe stores the saved payment method. You can ask us to change or remove it at any time.

5. Failed and late payments

If an automatic payment fails or an invoice passes its due date, we will email you so you can pay or update your payment method. If it stays unpaid after we have reminded you, we may pause the related services or licensed software features until the balance is paid. Paused services come back once the invoice is paid.

6. Cancelling

You can cancel a subscription at any time by emailing support@dirtroadsoftware.com. Cancellation takes effect at the end of the period you have already paid for, and you will not be billed again. Your services keep working until then.

7. Refunds

  • Subscription fees are not refunded for part of a period, unless your proposal says otherwise or the law requires it.
  • Setup, design and project work that has been delivered is not refundable.
  • If we charged you by mistake, such as a duplicate charge, we will refund it in full.
  • Approved refunds go back to the original payment method. Your bank may take several business days to show them.

8. Questions and disputes

If something on an invoice looks wrong, please email support@dirtroadsoftware.com before disputing the charge with your bank. We will look into it and fix genuine mistakes quickly.

9. Taxes

Prices do not include sales or other taxes unless the invoice says so. Where we are required to collect tax, it is shown on the invoice.
